Payments

All fees for swimming sessions must be paid in advance of the session.

AP Race Swimming Academy reserves the right to change the price of the swimming session(s) at any time.

The session schedule may change during public and religious holiday periods, and payments adjusted accordingly.

No sessions can be held without payment in advance.

AP Race Swimming Academy enforces a no-pay/no-swim policy. If the client’s account is in arrears, the swimmer will not be permitted into the pool, and the client remains liable for any missed lessons’ payment.

Any unpaid fees will be handed over for collection to an attorney and will accrue interest at the prime lending rate. The client will also be liable for any collection costs, including attorney fees.

Cancellation / Refund Policy

AP Race Swimming Academy maintains a No Refund policy.

Clients cannot reschedule or make up missed sessions.

In the event of a pool closure, clients affected will be contacted via phone and/or email. Whenever possible, an alternative class or refund will be offered.

Session fees are non-refundable if the swimmer misses lessons or withdraws from the programme.

Sessions run consecutively and session credits will be utilised throughout the session duration, regardless of the swimmer’s attendance.

Refunds or credit notes may be given in exceptional circumstances, subject to management discretion such as the production of a medical certificate.

If a swimmer is unwell, they should not attend the swimming session. Swimmers should not swim for at least 72 hours after experiencing diarrhea.

The sessions will not always be provided by the same Teacher/Coach. While we will use reasonable endeavors to ensure that each of the sessions you have purchased is provided by the same Teacher/Coach, this may not always be possible.

General Guidelines

Absences: Notify the teacher/coach in advance if your child will miss a session. Missed sessions cannot be made up.

Illness: Do not bring your child to lessons if they are ill or unwell.

Facility Rules: Follow all rules and guidelines set by the swimming facility.

Feedback: Provide constructive feedback in a respectful manner to help improve the programme.

Child Admission Policy: Coached/Teacher-Led Swimming Sessions

To ensure safety and maximise learning during teacher- or coach-led swimming sessions, the following policy applies:

Children under the age of 10 must have a responsible adult (age 16+) remain within the facility for the entire duration of the session.

Child Admission Policy: Open Swim Sessions 

To ensure a safe and enjoyable experience for all swimmers during open public sessions, the following admission policy and Child-to-Adult Ratios must be used. 

Children under the age of 10 must be accompanied in the water for the entire session by a responsible adult (age 16+). Sitting on the poolside does not meet this requirement.

  • Under 4 years: 1 adult per child (1:1). If using an appropriate buoyancy aid that fully supports the child’s weight and remains secure (e.g., fixed floatation vests or suits), the ratio increases to 1 adult per 2 children (1:2). Hand-held flotation aids are not permitted.
  • 4 to 7 years: 1 adult per 2 children (1:2).
  • 8 to 9 years: 1 adult per 2 children (1:2).
  • 10 years and older: May swim unaccompanied, but must still follow all safety rules and lifeguard instructions.

Swimmer Behaviour Expectations

Punctuality: Arrive on time for all sessions.

Respect: Show respect towards instructors, fellow swimmers, and facility staff at all times.

Swimmers should arrive 15 minutes before their scheduled class time (no earlier).

Swimmers arriving more than 5 minutes late for the class may be refused entry as it disrupts the lesson for others.

Swimmers are expected to refrain from using any inappropriate language both within our sessions and when within our facilities. 

Listening: Follow the teacher/coaches directions and listen attentively during lessons.

Safety: Adhere to all safety rules and regulations of the swimming facility.

Conduct: Maintain a positive attitude and refrain from disruptive behavior.

Swimmers must shower before their lesson, remove hair gels, body lotions, etc., and use the toilet before the lesson commences.

Attire: Wear appropriate swimwear and bring necessary equipment (e.g., goggles, swim caps).

No jewellery should be worn during lessons except religious or medical bracelets.

Goggles can be worn but should be removed if they become a distraction or during certain skills unless medically necessary.

Please note AP Race Swimming Academy takes no responsibility for lost or damaged items.

Swimmers are expected to respect the facilities by keeping changing rooms tidy, disposing of rubbish properly, and ensuring no personal items or mess are left behind after use. 

Parents/Guardians Behaviour Expectations

Support: Encourage and support your child’s learning and progress.

Respect: Treat teachers/coaches, other parents, swimmers, and facility staff with respect.

Observation: Observe lessons quietly without causing distractions. Parents are encouraged to stay in designated viewing areas.

Punctuality: Ensure your child arrives on time and is picked up promptly after each session.

Communication: Direct any concerns or questions to the facility manager or via our feedback procedure, not to the teachers/coaches during the session time.

Safety: Ensure your child adheres to all safety rules and regulations of the swimming facility.

Parents are expected to respect the facilities by keeping changing rooms tidy, disposing of rubbish properly, and ensuring no personal items or mess are left behind after use.

Consequences of Inappropriate Behaviour

Warnings: Teacher/Coaches will give verbal warnings for minor infractions.

Temporary Suspension: Repeated or severe violations may result in temporary suspension from sessions.

Expulsion: Continuous inappropriate behavior may lead to permanent expulsion from the programme without refund.

Photography

To protect the privacy and safety of all users within our facilities, photography is not permitted during sessions without prior authorisation. This policy helps ensure that individuals who have not given consent are not inadvertently photographed. Should a parent or guardian wish to take photos of their own child, they must first request and receive signed permission from the Facility Manager. This applies to all AP Race Swimming Academy sites and must be done in advance of any photography taking place.

Image Usage Permission

The AP Race Swimming Academy frequently captures photos and videos of our swimmers to celebrate achievements, promote our programmes, and enhance the learning experience. These images may be used for:

  • Academy promotional materials (brochures, posters, flyers)
  • Academy website and social media channels
  • Educational and training resources
  • Press and media coverage

If you do not wish for your child’s image to be used, please amend your preferences in your swimmers account.

Feedback Procedure

We prioritise customer satisfaction and are committed to addressing your concerns promptly and effectively. If you have feedback, you can reach us via email, phone, in-person, or through our website’s contact form.

We will acknowledge receipt of your feedback within 24 hours. If required, a thorough investigation will be conducted of your feedback, and we will contact you with a proposed resolution within 5 working days. We will follow up to ensure your satisfaction with the resolution.

Liability Release and Indemnification

I, the undersigned participant and parent/guardian, request voluntary participation for myself/minor to participate in all events, which are hereinafter referred to as the “activities,” sponsored by AP Race Swimming Academy. This agreement is valid while the participant is a member of AP Race Swimming Academy. I consent to my/minor’s participation in the activities and acknowledge that the inherent risks, dangers, and hazards involved with the activities may expose my child and myself to the risks of personal injury, accidents, and even death.

I understand that the activities may be of a hazardous nature and/or include physical and/or strenuous exercise or activity, and that the risks of such activities may include, but are not limited to, the following:

  • Near-drowning
  • Neck and spinal injuries
  • Concussions
  • Cuts, scrapes, abrasions, and bruises
  • Cardiovascular emergencies
  • Bone fractures

I agree to accept all risks, whether present or future, known or unknown, arising from or as a result of the participant’s involvement in the activities. I also agree to indemnify and hold harmless AP Race Swimming Academy from any and all claims arising from the participant’s involvement in the activities, except in the case of gross negligence.
